# Printing Reports

## Overview

On Book Pro can generate print-ready reports for schedules, contact sheets, run sheets, costume bibles, and more. All reports are optimized for standard paper sizes and include headers, footers, and page numbers.

## How to Print

### From the Action Toolbar

Most report-enabled tools have a **Reports** button in the toolbar at the top:

1. Open the tool you want to print from
2. Click **Reports** in the action toolbar
3. Select a report type in the shared Reports modal
4. Review the report options
5. Click **Print** to continue to your browser's print dialog
6. Select printer or "Save as PDF"

### Keyboard Shortcut

Press **Ctrl+P** (Cmd+P on Mac) to print the current view.

## Exporting as CSV

In addition to printing, many reports support **CSV export** for use in spreadsheets (Excel, Google Sheets, etc.).

### How to Export

1. Open the tool you want to export from
2. Click **Reports**
3. Select a report that supports CSV
4. Click **Download CSV**

### Supported Tools

| Tool | CSV Contents |
|------|-------------|
| **Run Sheet** | Scene list with cues and notes |
| **Props** | Props inventory with scene assignments |
| **Cast** | Contact sheet with roles and details |
| **Scheduler** | Schedule events (excludes deadlines) |
| **Calendar** | Same as Scheduler export |
| **Costumes** | Costume pieces with character/scene assignments |
| **Sound** | Sound cue list with descriptions |
| **Production** | Deadline, tracking, and actor rehearsal-hours CSVs |

::: tip Opening CSVs
Double-click the downloaded `.csv` file to open in Excel or Google Sheets. All fields are properly quoted and escaped.

## Available Reports

| **Scheduler** | Daily, weekly, or monthly calendar |
| **Personnel** | Contact sheet, tracking matrix |
| **Costumes** | Costume bible, quick change plot, fitting schedule |
| **Props** | Props list by scene, tracking sheet |
| **Production** | Deadline summary, department breakdown |
| **Budget** | Budget summary with variance |
| **Attendance** | Event attendance, period summary |
| **Notes** | Individual note or compiled report |
| **Production** | Actor rehearsal hours by attendance status |

## Print Settings

### Page Setup

Reports are formatted for:

* **Letter** (8.5" × 11") — Default
* **A4** (210mm × 297mm) — Auto-detected from browser

The Reports modal also exposes font size, density, gridline, and page-break controls where they apply.

### Headers & Footers

All reports include:

* **Production name** in the header
* **Report title** and date
* **Page numbers** in the footer

### Color vs. Black & White

Reports use color for:

* Status indicators
* Priority highlighting
* Category badges

For black & white printing, these render as patterns/shading.

## Saving as PDF

1. In the print dialog, select **Save as PDF** (or "Microsoft Print to PDF")
2. Choose a save location
3. The PDF preserves all formatting and colors

::: tip Sharing PDFs
PDFs are great for emailing reports to team members who don't have On Book Pro access.

## Troubleshooting

| Issue | Solution |
|-------|----------|
| Report is cut off | Check page orientation (portrait vs landscape) |
| Colors missing | Enable "Background graphics" in print settings |
| Wrong page size | Adjust in browser print settings |
| Text too small | Use Ctrl+P and adjust scale percentage |
