Action Items

Review before acting. Suggested action items can come from notes and transcripts. A stage manager or production lead should confirm the evidence before assigning work.


Overview

Action Items gives production staff a focused place to turn rehearsal notes, transcript findings, and meeting follow-ups into trackable work. The current tool separates review, active work, agenda preparation, blocked items, and closed history so production decisions do not disappear into chat or notes.


Opening Action Items

Open Action Items from a workspace where the tool is available. It appears for production workflows that need review and follow-up tracking.

The hub uses filter pills:

Reviewing Suggested Items

Suggested items queue under Needs Review. Each item can show:

  • A short title and reason labels
  • Confidence when available
  • Evidence from Notes or transcript-derived sources
  • Actions to accept, dismiss, or add the item to an agenda

Use Accept when the item represents real production work. Use Dismiss when the suggestion is noise. Use Add to Agenda when the item needs discussion before assignment.

The merge/dedupe control is visible but disabled in the current release while the analysis follow-up is being built.


Tracking Work

Open an item to use the detail drawer. Current fields include:

  • Status: Open, In progress, Blocked, or Done
  • Owner IDs and assignee user IDs
  • Department
  • Priority
  • Due date
  • Evidence links
  • History

Some assignment fields currently accept internal IDs rather than a people picker. Treat those fields as production-admin controls until the richer assignment UI lands.


Agenda Builder

The Agenda view ranks open action items for production-meeting preparation. You can:

  1. Add ranked items to the working production-meeting draft.
  2. Reorder or remove draft items.
  3. Mark items as blocked.
  4. Add discussion prompts, decisions needed, meeting dates, and agenda sections from the detail drawer.

The working draft is designed for production meeting prep, not final minutes export.


Evidence Navigation

When an action item has evidence, opening that evidence routes you back to the source surface when the app can resolve a path. This helps reviewers confirm what was said or written before accepting a suggestion.


Dashboard Relationship

The Dashboard has an Action Items widget for stage-management and production-manager views during rehearsal, tech, and performance phases. That widget currently surfaces immediate daily prompts such as attendance records that still need attention or due/missed deadlines. The full Action Items hub remains the place to review suggestions, update status, and prepare agenda drafts.
