Getting Started with On Book Pro

Owner setup. This guide describes the current setup path for creating a production and getting a stage manager ready to work.


Before You Start

You need:

  • Access to the On Book Pro app
  • A super admin or owner/operator who can create the production
  • A PDF script if you plan to import structure
  • A fallback copy of the schedule, contact list, and calling materials

Some tools require script text access. If Prompt Book, Performance, Line Notes, or the Script subtab are missing, ask the owner/operator whether scriptTextAccess is enabled.


Step 1: Create A Production

The current owner setup path starts in the Admin Portal.

  1. Open Settings.
  2. Select Administration.
  3. Open Season.
  4. Click New Production.
  5. Enter the production details.
  6. Create the production.

If you are exploring the app instead of creating a real production, choose Load Demo — The Tempest from the new production flow.


Step 2: Open The Project

After the production is created:

  1. Open the production from the project list.
  2. Confirm the show title is correct in the app header.
  3. Choose the workspace that matches your job. Stage managers usually start in Rehearsal Room.

Workspaces change which tools are shown in the sidebar. They do not grant permissions by themselves.

Project links can include both the organization and production scope. If you open a scoped link, On Book Pro loads the matching cloud project and restores feature flags such as script text access before showing gated tools.


Step 3: Use The Getting Started Wizard

Stage managers should use the Getting Started Wizard when it appears.

  1. Choose Import Script if you have a PDF.
  2. Upload the script.
  3. Wait for analysis to finish.
  4. Review Show Structure after import.
  5. Use the invite step when you are ready to add collaborators.

Step 4: Review Show Structure

After import, open Show Structure and check:

  • Acts and scenes
  • Character names
  • Character scene assignments
  • Script subtab, if script text access is enabled

Fix obvious errors before scheduling, prompt book work, reports, or call sheets. Bad structure data spreads into other tools.


Step 5: Invite The Team

Use the current invite workflow from Administration or the Getting Started Wizard.

Before inviting people:

  • Confirm the production is the right one.
  • Confirm roles and permissions.
  • Share the production's approved onboarding and fallback instructions with every collaborator.

Pending members may need approval before they can access project data.


Step 6: Verify Core Workflows

Before the first rehearsal using On Book Pro, run through:

  1. Open the schedule.
  2. Create or review one rehearsal event.
  3. Generate an attendance sign-in link.
  4. Print or preview one call sheet or report.
  5. Open Prompt Book or Performance if the production will use script text tools.
  6. Confirm the paper fallback is current.

Offline Expectations

On Book Pro supports cached editing for many project workflows, but not every workflow works offline.

Network access is required for sign-in, cloud project creation, email, public attendance links, script import, AI analysis, and uncached files.
